The main purpose of the post is to act as a personal assistant and support the day to day activities of the company and its management. You will be responsible for supporting the work of one director. We are looking for someone who is trustworthy and reliable to help manage the day to day activities of this busy and dynamic property company which focuses on investment, management and development.
Location – Central London / Home based
Majority of the role will be Home based, however there will be a requirement to be office based when needed.
Main responsibilities
- Act as first point of contact: dealing with correspondence and phone calls
- Managing, updating diaries, organising meetings and appointments
- Liaising with contractors, property maintenance companies, managing agents, suppliers, relevant third parties in relation to a property portfolio
- Dealing with correspondence- typing, compiling and preparing letters,reports, schedules where required
- Managing all databases and filling systems – including property summaries, mortgage accounts, invoices, deposit schemes
- Development, implementing and maintaining administrative, procedures and systems as required
- Book keeping support – submitting company statements, compiling and submitting VAT returns, general collating and filing of expenses, managing invoices, updating mortgage accounts and liaising on regular basis with company accountant.
- Minute taking/dictation
- Manage housekeeping facilities
- Miscellaneous tasks where required to support the company
Support management where required
Experience
- Have proven significant Personal Assistant experience or experience in one of the following back grounds – Law ( property), accountancy, property management, management consultancy. Experience of core business functions including finance, communications, IT systems
- Good understanding of working in the property sector
- Training in IT systems
Skills
- Good sound knowledge of working IT systems including, MS Office – in particular spreadsheets, excel database
- Mac use desirable
- Ability to multi task and priorities daily work load
- Excellent organisational and time management skills
- Excellent verbal and written communication skills
- Ability to work independently , proactively and respond to deadlines
- Excellent time management
- Trustworthy and ability to act with discretion and confidentiality
